We are looking for a
Project Assistant and Office Manager (m/f/d) 80%-100%
for our Real Estate and Support Services Team based in our European Headquarter in Zurich who will support our Office operation and European wide Projects.
What You Will Do:
* First Point of Contact for Associates and Vendors
* Invoice Approvals and Reporting
* Daily Vendor Management (Landlord, Cleaning Company, Flowers, Contractors)
* Office Moves and Associate Onboarding
* General Maintenance Request
* Checking of Vending Machines, Service Points, Copy Machines
* Mail Services (DHL, Advising on Package Shipment)
* Support of Manager with Admin Tasks (PO Creation etc.)
* Support European Project in Sustainability, Operations
* Support on a required basis for our Office in Reinach, BL
Requirements:
* Excellent verbal and written communication skills, in both English and German, with the ability to present the message to a wide range of audiences. Fluency in another language is a plus.
* Some years of working experience in a similar position (Office Manager, Team Assistant, Executive Assistant, Facility Coordinator)
* Service oriented and willing to go the extra mile
* Proficiency in MS Office
* Team player and customer service oriented
* Fast thinker with a proven ability to multitask, coordinate and prioritize.
* Well organized, structured and highly autonomous way of working
* High degree of tact and discretion
* Skilled to take ownership.
