Team Assistant & Project Coordinator, Medical Affairs
Location: Baar, Kanton Zug
Position Summary
The Team Assistant & Project Coordinator, Medical Affairs will provide support to the VP Medical Affairs, International & Japan, and the Medical Department.
Principal Responsibilities
1. Support the VP Medical Affairs, International and Japan (VP, MA Int’Japan) in his/her daily activities and ensure the interface with the company’s local and International and Japan executives, business partners and KOLs.
2. Provide administrative support to the team by handling general and advanced administrative tasks (meetings and minutes, calendar, travels, expenses, check department invoices, proof reading).
3. Keep budget information up to date in close contact with the Finance Department and provide monthly reports to the (VP, MA Int’Japan).
4. Support the (VP, MA Int’Japan) for the preparation of reports and presentations.
5. Route, log and maintain files, reports, documents, and databases as appropriate.
6. Coordinate internal regional resources and third parties/vendors for the flawless execution of regional medical affairs projects as prioritized.
7. Ensure that prioritized projects are delivered on-time, within scope and within budget.
8. Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility and proper follow up with Alexion internal procedures and policies.
9. Ensure resource availability and proper allocation.
10. Develop a detailed project plan to monitor and track progress.
11. Manage changes to the project scope, project schedule and project costs using appropriate verification techniques.
12. Measure project performance using appropriate tools and techniques.
13. Report and escalate to the VP, MA Int’l and Japan as needed.
14. Establish and maintain relationships with third parties/vendors.
15. Create and maintain comprehensive project documentation in proper BOX.
16. Track project performance, specifically to analyze the successful completion of short and long-term goals.
17. Meet budgetary objectives, escalate, and discuss adjustment to project constraints based on time, finance and tasks analysis.
18. Perform other related duties as assigned (for example, follow up on VP, MA Int’l and Japan needs, timelines direct reports responses).
19. Develop spreadsheets, diagram and process maps to document needs.
Qualifications
1. Experience in a pharmaceutical or biotech environment is mandatory.
2. Able to handle multiple and changing priorities.
3. Excellent computer skills (Excel, PowerPoint, Word).
4. Flexibility and ability to adapt to changing conditions.
5. Dynamic.
6. Sense of ethics and responsibility.
7. Rigorous, organized.
8. Fluency in English and French both written and oral mandatory.
9. Proven working experience in project management.
10. Excellent written and verbal communication skills.
11. Solid organizational skills including attention to detail and multitasking skills.
Education
Administration degree or relevant degree or equivalent qualification.
