Main Purpose of the Role:
The Campus Services Team Leader supports various school departments to ensure smooth and efficient operations in organizing trips, managing the procurement and distribution of essential materials, overseeing campus store services, and coordinating catering operations.
Key Responsibilities:

The Campus Services Team Leader interacts daily with our providers to address potential issues and organize the essential services that support the school community. This role also ensures that the service strategy is regularly adapted and implemented, especially during peak seasons such as the start of the school year. Therefore, the CSTL must be working every August and September month full time.
The CSTL acts as a crucial link between external partners (suppliers and service providers), internal teams (academic staff, boarding staff, and the accounts department), as well as parents and boarders. The main responsibilities include:
1. School Trips (50%)
Validate all trips organized within the school by the faculty. Ensure budget accuracy, initiate billing, track vendor invoices, maintain updated records, and prepare cash advance requests. This responsibility requires a strong proficiency in Excel and agility with numbers.
2. Bookstore and Supplies Procurement & Distribution (20%)
Oversee the procurement, organization, and inventory of educational materials, textbooks, and other supplies for the bookstore. Work closely with academic departments to identify resource needs and ensure timely distribution, including managing large-scale distributions and recruiting temporary teams for peak times. Manage the procurement and distribution of the yearbook.
3. Campus Store (15%)
Supervise the campus store's day-to-day operations, ensuring availability of school-branded merchandise and basic supplies. Manage the online store activities including the platform update. Monitor inventory, collaborate with suppliers, and organize seasonal promotions or large-scale distributions as needed. Manage ad hoc procurement of clothes for specific occasions or departmental requirements.
4. Catering (15%)
Coordinate with catering providers to ensure that meal offerings meet the expectations of the school’s diverse populations (students, faculty, and boarders). Collaborate on menu planning, manage budgets, and monitor the quality and cost-effectiveness of catering services. Participate in weekly meetings with the service provider to review and adjust the catering plan as needed. Manage one lunch supervisor to ensure smooth operations during mealtimes. Participate in quarterly reviews of catering contracts and service standards.
Skills and Competencies
* Full professional proficiency in English and French (oral and written).
* Strong interpersonal communication and service orientation.
* Excellent organisational and analytical skills with attention to detail.
* Ability to work independently and collaboratively in cross-functional teams.
* Adaptability in a fast-paced environment with a proactive approach to problem-solving.
* Strong proficiency in MS Excel (formulas, reporting) and familiarity with other relevant tools.
Qualifications
* Bachelor’s degree in administration or equivalent. Degree in tourism or hospitality management is an asset.
* 2+ years of experience in an administrative or customer service environment.
* 5+ years of experience in school or hospitality services management is an asset.
