* Experience: 2-3 years of professional experience in an office management or executive assistant role, preferably in a family office or a similar environment
* Education: Completed Bachelor's or University of Applied Sciences degree in Business Administration, Management, or a related field
* Business Knowledge: Strong knowledge in the field of business administration
* Financial Acumen: Basic accounting skills and financial coordination experience.
* Project Management: Experience in monitoring project progress, schedules, and budgets to maintain high-quality standards.
* Process Optimization: Proven ability to streamline processes and improve efficiency within an organization.
* Company Secretary: Experience with corporate governance, preparing board materials, maintaining corporate records, and ensuring compliance.
* Organization and Time Management: Strong organizational skills and excellent time management, with a proven track record of managing complex tasks and delivering results on time
* Communication: Excellent communication and interpersonal skills, particularly effective in liaising with various stakeholders
* Discretion and Confidentiality: High integrity and discretion in handling confidential and sensitive information
* Problem-Solving Skills: Independent and solution-oriented approach, with the ability to quickly identify and resolve challenges
* Language Skills: Fluent in both written and spoken German and English
Your Responsibilities:
Office Administration:
* Oversee daily operations to ensure efficiency in all administrative processes.
* Perform basic accounting tasks, including payment processing and financial coordination.
* Manage confidential documents and sensitive information, including the proper filing and storage of legal documents to ensure compliance and accessibility.
Project Management:
* Monitor project progress, schedules, and budgets to maintain high-quality standards.
* Implement due diligence and Know-Your-Client (KYC) processes.
* Assist in preparing legal documents and ensuring compliance with regulations.
Financial Oversight:
* Take responsibility for general accounting tasks, incl. daily account management.
* Support the preparation of annual financial statements and audits.
* Track and report on financial performance and budgets.
Strategic Support:
* Assist in the preparation of contracts, board materials, and briefings.
* Support strategic projects, ensuring compliance with relevant laws and regulations.
* Support in preparing materials for recurring business reviews and strategic alignment.
Communication & Stakeholder Management:
* Aid in communication efforts, including the preparation of press releases.
* Manage web presence and social media channels for the company and its subsidiaries, locally and internationally.
* Facilitate communication and collaboration among different departments and external partners.
Personal Assistance:
* Provide personal support to family members, including calendar management, scheduling, and meeting organization.
* Organize travel arrangements, including booking flights, accommodations, and transportation.
* Plan and coordinate family events and social gatherings.
* Handle personal errands and tasks for family members.
* Serve as the primary point of contact for family members, addressing inquiries and ensuring timely resolution.
