Your Responsibilities:
* Drafting and Formatting Reference Letters: Create well-structured, accurate, and professional reference letters tailored to specific needs (employment, academic, or character references).
* Liaison with Stakeholders: Collaborate with People Managers, HR Business Partners, and external stakeholders to gather necessary information for reference letters.
* Maintaining Confidentiality: Handle sensitive information with discretion and comply with data protection regulations, ensuring reference letters are shared only with authorized parties.
* Tracking and Follow-up: Monitor the progress of reference requests, ensuring timely completion and delivery. Follow up with stakeholders as needed.
* Records Management: Maintain an organized system for storing and tracking reference letters, ensuring compliance with documentation retention policies.
* Quality Assurance: Review reference letters for grammatical accuracy, tone, and content, ensuring they reflect positively on both the individual and the organization.
* Customer Support: Act as the point of contact for reference letter inquiries, providing clear guidance and addressing any concerns related to content or timelines.
Qualifications and Experience:
* Proficiency in both German and English (written and spoken).
* Strong ability to draft professional letters with high grammatical accuracy and attention to detail
* Excellent verbal and written communication skills, with the ability to liaise effectively with different stakeholders
* Strong organizational skills to track requests, manage deadlines, and ensure timely delivery
* Proven ability to handle sensitive information with discretion and maintain confidentiality
* Experience in a support or customer-facing role, handling inquiries and ensuring high levels of service
* Flexibility to work mornings or afternoons from Monday to Thursday
