Position Summary:
The HR & Office Operations Specialist will play a vital role in ensuring smooth operations at our Nanoleq office in Zurich as our parent company, Myant, expands its presence in Europe. This part-time position (50%) involves responsibilities in HR administration, office management, promoting team culture, and providing general operational and organizational support during a period of growth. The specialist will report directly to the HR Manager headquartered in Canada. The ideal candidate will be fluent in both English and German, proactive, and a self-starter with strong organizational skills. A background in HR administration is required, along with familiarity with the Swiss employment system and employment law.
Key Responsibilities
HR Administration:
Manage employee lifecycle processes, including onboarding, offboarding, and contract management
Handle administrative tasks related to pension plans, social security, sickness, accident, and unemployment insurance
Prepare reference letters and maintain accurate employee records
Collaborate with external payroll providers and ensure compliance with local employment regulations
Be the contact point to any HR topic for the local ZH team and manage potential escalation of certain topics to the Canadian headquarters
Office Management:
Oversee office facilities, including rental agreements, office furniture, and equipment maintenance
Coordinate with external service providers for office-related needs
Maintain office supplies and support a comfortable and productive work environment
Team Culture:
Develop and implement initiatives to foster team spirit and enhance employee engagement
Organize company celebrations, workshops, and team-building activities to promote collaboration and a positive work environment
General Operational Support:
Provide organizational support to the leadership team
Assist with operational tasks during the company’s European expansion
Coordinate travel arrangements, meetings, and events for internal and external stakeholders

Qualifications
Mandatory Requirements:
Existing work permit for Switzerland
You speak German and English very well. English is the main language for communicating and socializing at Nanoleq. German is a must for organizational tasks in Switzerland
You are familiar with the Swiss employment system and employment law (Employment rights, work contracts, insurances, pension, SVA, RAV, immigration, recruiting and termination, sick leaves, holidays, etc)
You are familiar with the basics of the “Swiss system” in general (bank accounts, tax system, SVA, immigration rules, rental contracts, etc)
Additional Qualifications:
Experience in office management or a similar operational role
Strong organizational and multitasking skills with exceptional attention to detail
Excellent interpersonal and communication skills
Ability to work independently and manage multiple priorities in a fast-paced environment
