On behalf of our client, a rapidly growing biopharmaceutical company focused on developing innovative therapies, we are seeking an experienced HR Project Coordinator to support various activities pertaining to their International expansion plan.
The Human Resources Project Coordinator will mainly support Talent Acquisition (TA) and other Human Resources (HR) activities for our client. The ideal candidate will manage various projects and tasks, ensuring smooth internal operations and effective stakeholder interactions.
Your main tasks
Talent Acquisition and Onboarding:
Assisting in posting job openings
Coordinating the recruitment process, including scheduling interviews, communicating with candidates, and organizing debrief sessions
Conducting initial screenings of resumes and applications
Organizing and maintaining all support materials for Talent Acquisition
Background check processing and adjudication
Recruitment vendors coordination, serving as primary point of contact for all external recruitment vendors for administrative needs
Facilitating onboarding processes, including preparing offer letters and employment contracts, as well as collecting necessary documents
Internal Operations Support:
Assist in developing and maintaining Standard Operating Procedures (SOPs) to streamline HR-related processes
Manage calendars for the TA/HR team, scheduling meetings and other HR-related events, ensuring efficient time management
HR Project Management:
Collaborate on various HR projects, ensuring timely completion and alignment with company objectives
Maintain project documentation and provide to the TA/HR team
Employee Records and Documentation:
Ensure employee records are consistently updated while maintaining accuracy and confidentiality.
Oversee HR databases and systems to keep all employee information current and organized
Prepare and process HR-related documents, including employment verification letters
Benefits and Payroll Administration:
Assist employees with benefit enrollment and address questions regarding available plans.
Collaborate with external payroll providers to guarantee accurate and timely employee compensation.
Support the management and administration of leave requests and other time-off policies.
Your profile
Bachelor’s degree in human resources, Business Administration, or a related field; or a combination of relevant experience and training
Minimum of 3 years of experience in recruitment coordination, HR project management, or a similar role within the pharmaceutical or biotech industry or within an RPO setting
Experience working with Applicant Tracking Systems (ATS) preferred
Proficiency in MS Office Suite and familiarity with HRIS
Excellent organizational and multitasking abilities
Strong interpersonal and communication skills
Attention to detail, ensuring accuracy in documentation and compliance
Maintaining discretion with sensitive employee information
Ability to work independently and collaboratively in a fast-paced environment
Fluency in English and German; proficiency in French is a plus
