Administrative Assistant Job Description:
Job Summary
This is a 12-month contract role based on-site in Basel, requiring an Administrative Assistant to provide comprehensive support in a fast-paced environment.
Key Responsibilities
Administrative Support
* Manage calendars and agendas for key team members, ensuring efficient scheduling and organization.
* Assist with administrative tasks such as personal expense reports and general office support.
* Contribute to improving team workflows and working practices.
Meeting and Event Coordination
* Plan, organize, and execute internal and external meetings, workshops, and events.
* Support global calls by preparing agendas, liaising with speakers, and managing follow-up actions.
* Handle travel arrangements, accommodations, and venue bookings when needed.
Internal Communications
* Develop and manage internal communications initiatives, including newsletters, intranet updates, surveys, and articles.
* Organize and maintain digital workspaces for easy access to information.
Requirements
* Experience: Minimum 2+ years of experience in an administrative role within a cross-functional or fast-paced environment.
* Languages: Fluent English (written and oral). Knowledge of German and/or French is a strong advantage.
* Computer Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
* Eligibility to Work in Switzerland: Holder of Swiss Permit or EU Passport.
