Position Description

Background information:
The Events and External Relations Coordination Consultant will be responsible for the planning, execution, and coordination of meetings and events, as well as supporting the Director in high-level engagements. The role also entails strategic communication with external stakeholders, ensuring effective outreach and relationship-building.
Main duties and responsibilities:
The incumbent will work under the direct supervision and guidance of the Executive Assistant to the Director (DOD), and in close collaboration with the Director, the Director’s Office, and the External Relations and Strategic Partnerships Section (DOE).
The incumbent will assume the following duties:
Conceptualization and Coordination of Meetings and Events
* Under guidance of the Executive Assistant to the Director, design, plan, and execute events, conferences, and meetings, ensuring alignment with the organization’s strategic objectives.
* Coordinate logistical and technical aspects of events, including venue selection, agenda development, speaker engagement, and participant management.
* Liaise with relevant internal and external stakeholders to ensure smooth execution.
* Under guidance of the Executive Assistant to the Director, coordinate post-event debriefing, feedback collection, and reporting to improve future events.
Assistance to the Director for High-Level Meetings
* Following DOD best practices, organize and coordinate arrangements for high-level meetings, including scheduling, agenda preparation, and briefing materials.
* Ensure timely follow-up on action points and commitments arising from meetings.
* Support in drafting debriefing reports and key takeaways for internal and external distribution.
Communication with External Entities
* When required, serve as a contact point for external stakeholders, fostering relationships with key actors in International Geneva and beyond.
* Draft and review correspondence, presentations, and reports tailored to different audiences.
* Ensure the appropriate tone and messaging are used in all communications, adapting to diplomatic, corporate, and civil society contexts.
Recruitment Profile
Experience and Skills required:
* At least two (2) years of proven experience in successfully organising events within International Geneva.
* Strong familiarity with the institutions, stakeholders, and mechanisms of International Geneva.
* Proven experience in building relationships, creating and nurturing connections for the purpose of achieving organizational goals in an international setting.
* Strong organizational skills and ability to manage multiple tasks simultaneously under tight deadlines.
* Excellent written and verbal communication skills, with the ability to tailor messages to diverse audiences.
* Ability to work independently and as part of a team.
Education:
* First university degree in Internal Relations, Communication, Event Management or a related field.
* Advanced university degree in Internal Relations, International Security, Human Rights or a related field.
Languages:
* English: Expert knowledge is required.
* French: Expert knowledge is required.

Compensation:
Fee will be based either on the National Officer salary scales or the Individual Consultancy band levels (for Headquarters).
