Job Description
* Manage ad hoc requests from C-Level executives based on priorities.
* Organize and coordinate schedules and travel arrangements (reservations, itineraries, schedule optimization).
* Prepare presentations, reports, and various documents.
* Ensure follow-up on administrative tasks and important deadlines.
* Manage expense reports and invoicing if necessary.
* Act as the primary point of contact for certain internal and external communications.
* Ensure a smooth flow of information between C-Level executives and teams.
* Manage the receptionist, ensure smooth operations, and provide support when needed.
* Be able to step in and replace the receptionist at short notice in case of emergency.
* Ensure that visitor reception and call management are always seamless and professional.
* Oversee the proper functioning of general services related to the reception area.
* Foster strong communication and collaboration with internal teams.
* Work in synergy with other assistants or administrative team members to optimize tasks.
* Serve as an effective information relay between C-Level executives and relevant employees.
* Contribute to a dynamic work environment by suggesting improvements and supporting the team as needed.
The Successful Applicant
* Dynamic, strong stress resilience, interpersonal intelligence, flexibility, strong communication skills, proactivity, anticipation of needs.
* Minimum of 5 years of experience in a similar role.
* English C1, French C2.
