The Operations Manager will play a critical role in managing the day-to-day operations of our company. You will be responsible for overseeing team meetings, delegating tasks to the appropriate departments, creating and implementing an accountability chart, improving operational efficiencies, building sales funnels and workflows in our CRM, organizing the CEO’s schedule, and ensuring that our sales process is streamlined and easy to follow. Additionally, you will manage specific financial tasks, oversee marketing metrics, and handle client and partner communications.
Responsibilities
Team Management:
* Organize and lead regular team meetings.
* Assign and delegate tasks to the appropriate team members and departments.
* Monitor progress on tasks and projects, ensuring deadlines are met.
* Develop and implement an accountability chart to track responsibilities across the team.
* Train and onboard new team members, ensuring a smooth integration into the team.
Operational Efficiency:
* Identify and implement strategies to improve operational processes and workflows.
* Build and optimize sales funnels and workflows within the CRM.
* Ensure that all operational procedures are well-documented and easy to follow.
* Manage email communications, ensuring timely responses and organization.
* Ensure the company stays within its marketing budget by monitoring expenses and tracking ROI.
* Oversee the rehab budget for projects, ensuring costs are controlled and within planned limits.
Schedule and Task Management:
* Assist in organizing the CEO’s schedule, prioritizing tasks, and managing time efficiently.
* Delegate tasks to team members, providing clear instructions and expectations.
* Hold team members accountable for completing their tasks on time and to the required standard.
Sales Process Optimization:
* Help create and refine our sales process, ensuring it is efficient and scalable.
* Work with the sales team to ensure all processes are in place and easy to follow.
* Regularly review and optimize the sales process for continuous improvement.
Marketing and Metrics:
* Oversee marketing metrics and KPIs, ensuring they align with company goals.
* Analyze data and generate reports related to marketing and sales performance.
* Provide insights and recommendations based on data analysis to improve overall company performance.
Client and Partner Communications:
* Manage communications with clients and partners, ensuring a professional and timely response.
* Coordinate with external stakeholders to ensure alignment on project goals and timelines.
Special Projects:
* Take on specific projects that align with the company’s growth strategy but that the CEO does not have time to implement.
* Develop and execute project plans, ensuring they are completed on time and within budget.
Accountability Metrics:
* Meetings are held on schedule, with clear agendas and actionable outcomes.
* Team members are consistently clear on their tasks and deadlines.
Task Delegation and Completion:
* Tasks are delegated appropriately, with deadlines met 90% of the time.
* Task completion rates are tracked, with a goal of 95% completion within the designated timeframe.
Operational Efficiency Improvements:
* Implementation of at least three new operational efficiencies within the first 6 months.
* Sales funnels and CRM workflows are fully functional and optimized within 3 months.
Schedule Management:
* CEO’s schedule is organized with no missed meetings or deadlines.
* Prioritization of tasks results in a 20% improvement in time management within 6 months.
Sales Process Optimization:
* Sales process is documented, easy to follow, and results in a 10% increase in conversion rates within 6 months.
* Regular reviews and updates to the sales process are conducted, with feedback incorporated.
* Marketing expenses remain within budget, with regular reports on ROI.
* Rehab projects stay within budget, with cost tracking and variance reporting.
Marketing and Metrics:
* Marketing KPIs are met or exceeded, with regular analysis and reporting.
* Data analysis leads to actionable insights that drive a 10% improvement in key sales metrics.
Project Management:
* Special projects are completed on time and within budget, contributing to company growth.
Qualifications
* Proven experience in operations management, preferably in a real estate or virtual company environment.
* Strong organizational and multitasking skills.
* Proficient in CRM systems, task management tools, and project management software.
* Excellent communication and leadership abilities.
* Ability to work independently in a remote setting.
* Problem-solving mindset with a focus on continuous improvement.
Compensation
$8 - $15 hourly
