The Bank for International Settlements (BIS) is hiring a Board Secretariat Operations Manager within Board Secretariat Department.
This role is based in Basel, Switzerland; however, thanks to our status as an international organization, we can hire globally and welcome applications from candidates of all nationalities located anywhere in the world. Relocation support is available for the successful candidate and their dependent family members.
Purpose of the role:
The Bank for International Settlements’ mission is to support central banks' pursuit of monetary and financial stability through international partnership and to act as a bank for central banks.

Principal accountabilities:
Board, Bimonthly and AGM related responsibilities:
* Prepare various documents for the Board and its Committees (e.g. agenda, resolutions, speaking points), bimonthly meetings (e.g. programme) and AGM (e.g. invitations, voting).
* Coordinate the preparation (including logistics) of the bimonthly meetings and the AGM in close contact with the relevant departments and units of the Bank.
* Maintain close contact with BIS directors’ offices and provide a point of contact for shareholder central banks.
* Manage the circulation of documents (including quality control) to Board members/member central banks and their filing/archiving.
* Manage various payments to BIS directors, including pension payments to eligible former directors and widows.
Other Board Secretariat responsibilities:
* Prepare the Board Secretariat’s budget.
* Manage various information databases and their tools (e.g. Board database, shareholder register) relevant for the Board Secretariat.
* Prepare various documents required by shareholding central banks (e.g. audit statements).
* Support the preparation of the Bank’s Annual Report.
* Handle general administrative tasks for the Board Secretariat and for the Secretary to the Board.
* Occasionally, evening and weekend work may be required, particularly in preparation for and during Bimonthly/AGM periods.
Qualifications, skills, and experience:
* University degree of Bachelor or equivalent at minimum.
* Ability to initiate/coordinate work across organisational boundaries, top communication skills, attention to detail, ability to proactively respond to customer needs and understand the importance of being discreet.
* High level of proficiency in Microsoft Office applications (e.g. Word, Excel, PowerPoint, Outlook) and strong skills in other office-related software tools.
* Ability to multitask and produce high-quality work, even when under stress, while remaining calm, efficient, and flexible.
* English to a high level (mother tongue equivalent). Strong language skills in German and/or French desirable.
