OBJECTIVE AND MAIN TASK OF THE FUNCTION
This position is coordinating and organizing external visits, which includes coordination of the visitor’s program, organization of access, food, and beverage in collaboration with all departments in Switzerland. Furthermore, this position takes incoming phone calls and is responsible for distributing the incoming post. In addition, this position supports the organization of employee events (STAAR Time Out and Parties), trainings, and supports the recruitment administration (correspondence with external candidates), employee onboarding, and Mobatime User management. The position is also responsible for the publication of internal HR communication (Update of HR SharePoint, update presentations on TV Screens).
TASKS
1. Responsible for the reception of external visitors, including the organization and coordination of the visitor program, organizing visitor badges, breakfast, lunch, or dinner on demand, and organizing giveaways for customers. Communication with internal and external partners.
2. Accepting incoming calls and transferring them to the responsible person.
3. Distribution of external post and coordination of the distribution in Nidau.
4. Preparation of employee evacuation drill list on a weekly basis.
5. Supports the organization of employee events, trainings, etc. (this includes employee onboarding, weekly distribution of fruits, birthday gifts, and organizing trainings while keeping a proper tracking of completed trainings).
6. Create Purchase Orders (POs) for the HR department.
7. Supports new employee onboarding (preparing onboarding documentation, handouts, and giveaways).
8. Mobatime User Management: create or cancel users and badges, may conduct User training.
9. Publication of internal HR communications (update of HR SharePoint and presentations).
10. Provide support in talent acquisition for general correspondence with candidates.
11. Supports HR projects and initiatives.
12. Train the commercial apprentice in relevant tasks.
13. Back up for Time and Absence Management.
14. Provide administrative and organizational assistance to the Senior HR Manager Swiss Operations as well as to the International HR Director.
REQUIREMENTS AND SKILLS
Education: Commercial apprenticeship or similar preferred.
Special Knowledge: Proficient in English (verbal and written), French and/or German desirable, any other language is a plus. Proficient in Microsoft Office.
Personality: Motivated, flexible, and friendly person with a high service orientation, great team spirit, discretion, and talent for organization. Keen to work in an international environment.
Professional Experience: At least 3 years’ experience in a similar function preferred.
